FiComm Administrative Assistant
Description

The students hired for these positions will be the Administrative Assistants for the ASUC Administrative Office, the office that is responsible for various administrative, financial, and receptionist duties for the ASUC (Associated Students of the University of California, UC Berkeley’s Student Government). The new hires will be trained at the beginning of the Fall 2020 semester. These students will report to the LEAD Center Director for Student Government and Leadership Development working with the ASUC Senate, Chief Appointed Officials and the Administrative Office. The duties of the ASUC Administrative Assistants are split between receptionist duties and an assigned focus area. (10-15 hours/week). Please indicate all of the focus areas listed below in which you may be interested in a cover letter when you email us your resume.

Responsibilities

General Receptionist Responsibilities include: Reserving rooms for ASUC-related events and meetings in ASUC Spaces Managing ASUC student government documents Providing customer service for people with inquiries about ASUC (emails, phone calls, etc.) Checking in and out equipment (iClickers, AV equipment, etc.) Doing rounds in and managing ASUC spaces Managing and delivering mail to ASUC offices Assisting LEAD Center with account reconciliation Focus Areas Include: Callink Administrative Assistant (1) CalLink Assistance Managing ASUC student government documents Providing customer service for people with inquiries about ASUC (emails, phone calls, etc.) Checking in and out equipment (iClickers, AV equipment, etc.) Doing rounds in and managing ASUC spaces Managing and delivering mail to ASUC offices Assisting LEAD Center with account/financial reconciliation Finance Committee Administrative Assistant (1) Managing Senate and Governing Documents Creating/updating FiComm Agenda Attend and record minutes at the Finance Committee meetings on Monday evenings Updating ASUC Bylaws Updating Senate Resolution Tracker Helping to track Finance Rule Waivers, Sponsorship and Contingency Applications

Qualifications

Requirements:

  • Working knowledge of Microsoft Word and Adobe Acrobat
  • Security Background check
  • One year minimum commitment
  • Training sessions in the beginning of each semester
  • Cannot hold another position in a partisan office of the ASUC

Additional Qualifications:

  • Organizational & time management skills
  • ASUC, GA, and/or LEAD Center Experience Preferred
  • Professional demeanor
  • Superior written and verbal communication skills
  • Quick learner
  • Flexibility and ability to respond quickly in a fast moving environment
  • Proactive attitude
  • Attention to detail
  • Working knowledge of Excel and Google Drive preferred
  • Working knowledge of Callink preferred
  • Customer service job experience preferred
  • Experience working with a team
