Description

The student hired for this position will be the Administrative Assistant for the ASUC Administrative Office, the non-partisan office that is responsible for various administrative, financial, and receptionist duties for the ASUC (Associated Students of the University of California, UC Berkeley’s Student Government). The new hires will be trained at the beginning of the Fall 2022 semester. These students will report to the Assistant Director for Student Government Advising and Leadership Development (ASUC) within the LEAD Center

The duties of the ASUC Administrative Assistants are split between receptionist duties and an assigned focus area. (8-15 hours/week)

General Receptionist Responsibilities include:

  • Reserving rooms for ASUC-related events and meetings in ASUC Spaces
  • Managing current and past ASUC student government documents
  • Providing customer service for people with inquiries (in-person, emails, phone calls, etc.)
  • Checking in and out equipment
  • Maintaining and managing ASUC spaces on the 4th and 5th floor of Eshleman
  • Managing and delivering mail to ASUC offices
  • Other duties as assigned by General Manager, or Lead Center Supervisor

Administrative Assistant’s focus areas will be decided upon during the Fall Training based off experience, preferences, and opportunities for growth

Focus Areas Include:

  • Archivist (1)
    • Digitize and organize historical and current ASUC documents
    • Work on transitioning the archives to the Bancroft Library
    • Organize basement storage room
    • Work with Web Manager to upload introductory documents onto ASUC Central Drive/website
  • Senate/Senate Committees Assistants 
    • Senate Administrative Assistant (1)
      • Managing Senate documents
      • Creating/Updating Senate Agendas
      • Attend and record minutes at the weekly ASUC Senate Meetings on Wednesday evenings
      • Updating Senate Resolution Tracker
    • Governance and Internal Affairs Committee Administrative Assistant (1)
      • Managing Senate and Governing Documents
      • Creating/updating GovComm Agenda
      • Attend and record minutes at the weekly Governance and Internal Affairs Committee meetings on Monday evenings
      • Updating Senate Resolution Tracker
    • External and University Affairs Committee Administrative Assistant (1)
      • Managing Senate and Governing Documents
      • Creating/updating ExComm Agenda
      • Attend and record minutes at the weekly External and University Affairs Committee meetings on Monday evenings
      • Updating Senate Resolution Tracker
    • Finance Committee Administrative Assistant (1)
      • Manage funding request applications and relevant documents
      • Manage Senate documents
      • Creating/updating FiComm Agenda
      • Attend and record minutes at the weekly Finance Committee meetings on Monday evenings
      • Updating Senate Resolution Tracker w/ Finance Decisions
      • Keeping updated ASUC Sponsored RSO list

QUALIFICATIONS:

- Organizational & time management skills

- ASUC, GA, and/or LEAD Center Experience Preferred

- Professional demeanor

- Superior written and verbal communication skills

- Quick learner

- Flexibility and ability to respond quickly in a fast moving environment

- Proactive attitude

- Attention to detail

- Working knowledge of Excel and Google Drive preferred

- Customer service job experience preferred

- Experience working with a team

 

REQUIREMENTS:

- Working knowledge of Microsoft Word, Google Drive, and Adobe Acrobat

- Security Background check

- One year minimum commitment

- Training sessions in the beginning of each semester

- Cannot hold another position in a partisan office of the ASUC
